  • Responsibilities
    Position Overview: As a pivotal member of our high-volume health centre, the Medical Receptionist ensures smooth operations at the front desk and throughout our facilities. This role involves welcoming and registering patients, managing records, and addressing patient inquiries both in person and via email. The Medical Receptionist also handles various administrative duties, such as inventory management, and is expected to troubleshoot and resolve logistical challenges creatively. All responsibilities are carried out with a focus on inclusivity, patient-centered care, and safety. Key Responsibilities: Patient Interaction & Access:
    • Act as the initial point of contact for visitors, fostering a friendly, supportive, and inclusive environment.
    • Register patients and manage the waiting room to ensure efficient operations.
    • Provide accurate information and direct patients to the appropriate services or staff.
    • Maintain confidentiality and privacy in all patient interactions.
    • Handle incoming calls and inquiries, routing them appropriately.
    • Verify and update patient information for accuracy and confidentiality.
    • Assist volunteers at the Information Desk with computer use and accessing resources.
    • Guide visitors to meeting rooms or community resources as needed.
    • Set up furniture and equipment in meeting rooms when required.
    • Identify and suggest improvements to front desk processes and patient flow.
    Administrative Duties:
    • Operate and maintain office equipment, ensuring it is functional and ready for use.
    • Collaborate with medical and administrative staff for seamless patient care and communication.
    • Respond to general email inquiries within 48 hours, forwarding messages as needed.
    • Manage inventory and maintain supply levels and other materials.
    • Check and distribute mail and packages daily.
    • Stay updated on the daily calendar of events to assist visitors effectively.
    • Assist with the upkeep and organization of clinic facilities, including cleanliness and maintenance.
    Safety and Security:
    • Conduct building checks at closing to ensure security and that unauthorized individuals have left the premises.
    • Monitor public areas, proactively assisting visitors and reminding them of behavioral expectations.
    • Call for staff assistance or emergency services when needed, particularly in situations involving vulnerable individuals.
    • Complete and submit Incident Report forms immediately after an incident, following established procedures.

  • Requirements
    Knowledge & Skills: Required:
    • Language Skills: Proficiency in English
    • Technical Skills: Proficient in Microsoft Office Suite (including Outlook and Teams) with basic IT troubleshooting abilities.
    • Communication & Interpersonal Skills: Strong problem-solving abilities and effective communication skills. Capable of handling challenging situations with professionalism.
    • Teamwork & Independence: Ability to work both independently and as part of a team, adjusting to shifting priorities and handling unexpected situations.
    • Organizational Skills: Excellent organizational abilities with attention to detail, capable of multitasking in a fast-paced environment.
    • Cultural Competency: Knowledge of community resources and issues affecting LGBTQ2S+ individuals, with an ability to interact effectively with diverse populations.
    • Professionalism & Attitude: Compassionate, patient-focused, and proactive in problem-solving. Open to feedback and committed to ongoing learning.
    • Punctuality & Reliability: Demonstrated punctuality and reliability in all work aspects.
    Preferred:
    • Medical Record Systems: Experience with electronic medical record systems (EMRs).
    • Crisis Intervention: Experience in crisis intervention and supporting individuals with mental health or addiction challenges.
    • Medical Administration: Completion of a Medical Administration program or equivalent education and experience.
    • Volunteer Coordination: Experience in supporting and coordinating volunteers.
    Working Conditions:
    • Hours: Monday to Thursday, 12:00 p.m. – 8:00 p.m., and Friday, 10:00 a.m. – 6:00 p.m., with a 30-minute unpaid lunch break each day. Punctuality is crucial.
    • Physical Requirements: The role involves extended periods of sitting and occasional lifting of office supplies.
