Job Details:

Staffworks is looking for a business-minded Bookkeeper and Systems person to take on the role of Accounting Supervisor/ Lead Bookkeeper.

We run 78 payrolls a year and are growing by the minute.

The job requires an individual with a exceptional understanding of Bookkeeping processes and payroll, as well as a tech-savvy business mind. If you’re still learning, that’s ok. We all are.

This role reports to the president and the successful candidate will be one that flourishes in an environment of truth-telling and critical thinking. The primary business application is QuickBooks Online, along with a CRM from which we invoice weekly.

This is a hybrid, Toronto-based job with some on-site office time as well as working flexibly from home.

Candidates should have a track record of researching and implementing new technologies and systems as well as troubleshooting and vendor management.

  • Responsibilities

    Payroll (33% of responsibilities):

    • - Process biweekly payroll for 10-15 salaried employees, including monthly commissions, expense reimbursements, and termination/severance pay.
    • - Oversee and be responsible for temp payroll of 60 plus temporary employees (processed by a team member)
    • - Maintain payroll records and employee data from onboarding to completion, including benefits enrolment and terminations
    • - Prepare remittances for taxes, source deductions, and workers compensation boards according to specific remitting frequency requirements
    • - Prepare reconciliations and post journal entries to the general ledger
    • - Process Records of Employment (ROE) T4s, and RL-1s, including amendments if necessary
    • - Prepare T4 and RL-1 summaries, as well as annual reconciliations for various Federal and Provincial agencies
    • - Balance and reconcile WSIB, HST, and EHT accounts, reporting payroll reconciliations according to their respective deadlines
    • - Report and reconcile annual out-of-province employer health tax returns, workers’ compensation returns, and Revenue Quebec summaries
    • - Track vacation accruals and paid time off requests, carrying over vacation balances as required
    • - Create and distribute payroll calendar, including commissions and expense reimbursements schedule, as well as changes to paydays due to statutory holidays

    Bookkeeping (33% of responsibilities):

    • - Prepare monthly bank reconciliations

    Accounts Receivables:

    • - Verify, post, and process EFTs, cheque, and credit card payments, or supervise the same.
    • - Follow up on collections for overdue accounts and resolve invoicing discrepancies

    Accounts Payables:

    • - Process vendor invoices and expense reimbursements for payment
    • - Reconcile and post recurring expenses
    • - Process, reconcile, and post credit card statements
    • - Reconcile and remit HST, EHT, and provincial sales taxes to the appropriate agencies

    General bookkeeping:

    • - Close each month, providing management reports to the president

    Business Systems and Process Improvements (30% of responsibilities):

    • - Drive existing business systems upgrade implementation and process automation designed to improve payroll and accounting processes.
    • - Drive efficiencies using existing systems, QBO and Tracker.
    • - Create guides and documentation (templates, handbooks, etc.) covering key processes, policies, and projects.
  • Requirements

    Experience:

    • - Bookkeeping 5 years (preferred)
    • - Payroll: 4 years (preferred)
    • - Experience utilizing Quickbooks online

    Education:

    • - Post Secondary Education - required

    Key Competencies:

    • - Strong knowledge of payroll legislation, accounting practices and principles, and compliance
    • - Advanced proficiency in Microsoft Excel, pivot tables, formulas.
    • - Demonstrated aptitude for learning and using new technology and tools
    • - Ability to multi-task, processing a high volume of transactions under tight deadlines without impacting accuracy and data integrity
    • - Excellent organizational and time management skills, managing tasks independently with minimal supervision
    • - Strong analytic & problem-solving skills
    • - Ability to deal with confidential and sensitive information in a diplomatic and tactful manner
    • - Excellent interpersonal communication and relationship-building skills, with the ability to deal effectively with external customers and all levels of staff
