Our client, a representative of teachers in the Ontario education system, has an immediate permanent in-office opportunity. We are looking for a Member Database Assistant III This is a temporary vacancy in the Administration Department.

  • Responsibilities
    Responsibilities Include: Accountable to the Member Database Specialist and working closely with the Information Technology Department the position will support the Association’s centralized membership platform (iMIS), which processes and maintains all teacher member records concerning membership status and fee rates.
    • Supporting the upkeep of the Association member database across all provincial departments, and local units, including search parameters, content, and reports;
    • Assisting with ongoing training and resources for all provincial office staff, local unit release officers, and local unit administrators, on the use of the member database;
    • Providing support to local units and unit staff on the use of the member database via ticket help system;
    • Supporting administrative functions related to the member database;
    • Assists in the co-ordination of cross-departmental and organizational application of member data;
    • Examines and verifies fee files to ensure there are no ‘visible issues’;
    • Periodically audits active and inactive records;
    • Prepares and updates membership lists;
    • Working with the Finance Department to coordinate and resolve fee files related issues;
    • Participates in the work of staff who compile, maintain and perform a variety of tasks related to the maintenance and upkeep of membership records.
  • Requirements
    Required Skills:
    • More than five years' accumulated experience working with organizational records with a similar institution, or in related work including extensive experience with database management and administration and analysis of data;
    • Strong understanding of Excel, Power BI and Macro is essential for analyzing and automation of data related tasks, including the ability to convert Text. Files into Csv files, VLOOKUP, Pivot table, and data validation;
    • This position requires analytical thinking including the ability to break down problems and navigate through them when data and operational rules are ambiguous;
    • Well developed and current computer skills in the full Microsoft 365 Office Suite;;
    • Working knowledge of iMIS database systems;
    • Strong attention to detail to identify discrepancies in the data; and
    • Excellent organizational, communication and interpersonal skills, with professional telephone manner.
    Required Education/Experience:
    • Extensive training in database management and/or completion of a University/College program in information technology.
