Our client, a not-for-profit organization dedicated to providing a community of support for those living with cancer and their loved ones, is seeking a detail-oriented Office Administrative Assistant with experience in Salesforce. This role is essential to supporting the organization’s administrative functions, with a focus on managing donor information and providing efficient, comprehensive office support. The ideal candidate will be organized, proactive, and adept at managing multiple administrative projects to support our client’s mission.

  • Responsibilities
    Key Responsibilities: Donation Information Management:
    • Download, track, and maintain accurate donation data from online fundraising platforms, or databases such as Salesforce.
    • Assist with data entry, updates, and maintenance within the Salesforce database to ensure records are up-to-date and accurate.
    • Prepare donation reports and donor correspondence, ensuring timely acknowledgments and follow-ups.
    General Office Administration:
    • Oversee day-to-day office tasks, including filing, opening and sorting mail, and organizing office materials.
    • Label and stuff envelopes for mass mailings and assist in preparing materials for campaigns, events, or outreach programs.
    • Maintain a clean, organized, and efficient workspace, helping to uphold a positive office environment.
    Documentation and Written Communication:
    • Support the preparation and distribution of various written materials, including meeting minutes, letters, memos, reports, invoices, and email correspondence.
    • Draft and format professional documents as needed, ensuring clarity, accuracy, and alignment with organizational standards.
    Administrative Support:
    • Provide additional administrative assistance as needed for specific projects, campaigns, or events.
    • Support team members and departments in maintaining effective communication and workflow.
  • Requirements
    Qualifications:
    • Proven experience with Salesforce or similar databases.
    • Strong organizational skills and attention to detail.
    • Ability to manage multiple tasks and prioritize effectively in a fast-paced environment.
    • Proficiency in Microsoft Office Suite (Word, Excel, Outlook) and comfortable learning new software as needed.
    • Excellent written and verbal communication skills.
    • Previous experience in an administrative role, preferably within a not-for-profit organization, is an asset.
    Preferred Skills:
    • Experience handling donor data and familiarity with fundraising best practices.
    • Ability to work independently and as part of a collaborative team.
    • A positive attitude and commitment to the mission and values of the not-for-profit sector.

    Experience:

    • Administrative experience: 1 year (preferred)
    • Raiser's Edge: 1 year (preferred)
