Job Details:

We are seeking a detail-oriented and organized Accounting Administrator to join our team. The Accounting Administrator will be responsible for performing various administrative and clerical tasks to support the accounting department. This is a long term part-time position based in our Pickering office.

  • Responsibilities
    Responsibilities:
    • Prepare Client Agreements (LOA/Event Agreement/SOW)
    • Review Hotel Contracts for terms & conditions, required concessions, room rates,
    • additional fees, and Taxes against the approved program budget
    • Management of approved supplier payments by credit card
    • Participant invoicing for extension, activities, air deviations, and related extras
    • including the following:
    Co-ordinating with Program Managers:
    • On combining participant additions for one invoice
    • Participant correspondence for sending an invoice (or to be
    • included)
    • Payment follow-up.
    • Tracking of payments.
    Merchant processing:
    • Participant invoice payments (to include invoice adjustment of admin
    • fee)
    • Sponsorship invoice payments
    • Sending payment receipts
    • Receive and track participant credit card information
    • Breakdown of merchant fees for program allocation
    • Credit Card Reconciliations to including the following cards: (AMEX Business, AMEX USD, RBC Visa, TD USD Visa)
    • Collect all backup
    • Reference and code
    • HST/GST/QST Breakout
    • Project allocation
    • Posting to QuickBooks
    • Reconcile
    • Program Reconciliations
    • Small program reconciliations (merchandise, town halls, BBQs, dinners,
    • day events, meetings, etc.)
    • Assist with larger program reconciliations components i.e. final hotel bills
    Preparing reconciliation binders for Program Managers in advance
    • Assist and follow up on accounts receivables
    • Accounting and Admin support as required
    Please note that this position is long term for at least 6 months, and could go beyond 1 year.
  • Requirements

    Experience:

    • Accounting: 5 years (preferred)
    • bookkeeping: 2 years (preferred)
    • QuickBooks: 2 years (preferred)
    • Account reconciliation: 1 year (preferred)
