Our client, a confidential, unionized professional organization in East York, Toronto is seeking a reliable and detail-oriented Administrative Assistant to provide high-level administrative support to members of a staff association. This role includes managing office tasks, coordinating meetings and events, and assisting with committee work—all within a dynamic, team-oriented environment.

  • Responsibilities

    Key Responsibilities:

    • - Draft, edit, and proofread correspondence, reports, presentations, and memos using Microsoft Word, Excel, and PowerPoint.
    • - Gather, organize, and analyze data and statistics for reporting purposes.
    • - Assemble and distribute information kits, publications, and resource materials.
    • - Support event coordination, including conferences and meetings; provide on-site registration support when needed.
    • - Record and prepare meeting minutes for approval.
    • - Manage scheduling, appointments, and travel arrangements.
    • - Ensure efficient communication across departments and with external contacts.
    • - Handle incoming calls and emails with professionalism, redirecting as needed.
    • - Maintain confidentiality and comply with relevant privacy legislation.
    • - Follow health and safety protocols in accordance with provincial regulations.
    • - Perform additional administrative duties as assigned.
  • Requirements

    Qualifications:

    • - High school diploma or equivalent; college-level administrative training is an asset.
    • - 2–3 years of recent experience in an administrative support role.
    • - Proficient in Microsoft Office (Word, Excel, PowerPoint); familiarity with Zoom and CVENT (or similar platforms) is an asset.
    • - Bilingualism in English and French is a strong asset.
    •  - Excellent communication, interpersonal, and customer service skills.
    • - Strong organizational skills and attention to detail.
    • - Proven ability to handle confidential information with discretion.
    • - Administrative: 5 years (preferred)
    • - Intermediate/Advanced MS Office: 8 years (preferred)
    • - minute taking: 1 year (preferred)
